VACANCY - AFP - Office Manager / Translator (8 months contract)

The Australian Federal Police (AFP) section of the Australian Consulate-General Guangzhou has a vacancy for a locally engaged staff to fill the following position: 

                                                                       Office Manager / Translator

Applications are invited from both Chinese and Australian Nationals. The successful applicant will be required to complete relevant pre-employment procedures before commencement. 

Please note the position is for a period of 8 months only, and is required to start as early as possible. Salary for this position will commence at RMB 172,578 (LE 5) per annum. Australian Nationals will receive the variable Expatriate Salary Loading (currently ranging from 23.98% - 33.48% depending on Australian residency status for taxation purpose) in alignment with the social insurance schemes for Chinese Nationals.

JOB DESCRIPTION

The AFP Office Manager is responsible for managing and coordinating all administrative, financial, office and personnel functions to support the AFP in Guangzhou.  The Office Manager/Translator provides high level support and capability across all operational and administrative elements.  The role undertakes high level decision making and problem solving and delivers high quality results with initiative and flexibility under adverse environmental conditions and significant time pressure.

The role also performs complex interpreting at relevant Chinese Government Agencies for the AFP senior management and translates complex legal documents.  The incumbent travels frequently and at short notice and will apply knowledge of AFP’s strategic and operational priorities as they relate to China. 

The key responsibilities of the position include, but are not limited to:

  • Undertake accounting and administrative tasks, managing AFP’s post budget which includes:
    • Prepare and forecast Annual Budget
    • Manage all aspects of the financial administrative duties of the AFP Guangzhou office
  • Manage all aspects of the administrative duties of the AFP Guangzhou office, such as:
    • Office administration
    • Travel coordination (Flights, Accommodations, Transportation)
    • Conference Symposium coordinator
  • Office administration
  • Travel coordination (Flights, Accommodations, Transportation)
  • Conference Symposium coordinator
  • Assist and manage projects and miscellaneous tasks as directed 
  • Manage the AFP spreadsheet of all outstanding enquiries and case referrals from Chinese counterparts, and contact with the relevant agencies to update 
  • Assist and manage projects, research and miscellaneous tasks as directed 
  • Under general direction of the Consul (Police Liaison), act as an interpreter for the AFP Office during meetings and official functions as required. 
  • Prepare and translate official correspondence.

 

SELECTION CRITERIA 

  • At least 3 years in the field of office management, including experiences with financial and administrative management. 
  • Well developed skills in both oral (in English and Mandarin) and written (in English and Chinese) communications.  The ability to speak Cantonese would be an advantage but is not essential.  Previous interpreting experience in the field of criminal investigation or legislation is desirable. 
  • Proven ability to manage a wide range of issues relating to stakeholders from different cultural backgrounds with sensitivity.  High level of personal organisation, and demonstrated ability to manage and prioritise a range of competing tasks.  
  • Applicants must have the ability to develop and maintain strong working relationships with both internal and external stakeholders.  Proven capacity to learn quickly and adapt to working in new environment.
