EXPECTED VACANCY
The Department of Foreign Affairs and Trade (DFAT) section of the Australian Consulate-General Guangzhou has an expected vacancy for a locally engaged staff to fill the following position:
Human Resources / Administrative Assistant
Applications are invited from Chinese Nationals. Successful applicant is required to register with the Service Office of Foreign Establishments, Guangdong Province (if not already) prior to commencing employment.
This is a permanent position. Salary for this position will commence at RMB 10,276 (LE5) per month.

Duty Statement:
Human Resources ( 40%)
Process attendance timesheets; maintain leave records by entering & updating data into human resources management information system (HRMIS). Liaise with HRMIS provider. Prepare checklists for LES commencing or departing the Consulate. Ensure checklists are completed. Assist with recruitment and selection exercises, including, receiving applications, answering general enquiries from applicants, preparing documents for the Selection Advisory Committee (SAC). Prepare LES payroll during absence of Senior Human Resouces Officer.
Administration - Travel (40%)
Undertake airline, train, and hotel reservations; purchase tickets for Consulate personnel, official visitors, delegations or other persons as required. Obtain fare quotes for official travel. Calculate travel advances and process acquittals. Provide instruction on travel policy to staff members. Liaise with Accounts staff for processing of travel requisitions. Liaise with post’s travel providers to ensure appropriate services received.
Perform other duties as directed (20%)

Selection Criteria:
1. Experience in payroll processing and use of an HRMIS. Demonstrate attention to detail under deadlines. Ability to interpret and adhere to Consulate’s Human Resouces and Administrative practices.
2. High level of personal organisation, and demonstrated ability to manage and prioritise a range of competing tasks. Ability to manage confidential and sensitive materials.
3. Fluent in written and spoken English and Mandarin. Cantonese language skills would be an advantage but is not required. Strong communication skills with a sound ability to interpret and translate between these languages. Proven ability to deal with a wide range of clients, from a variety of cultural backgrounds.
4. Good knowledge of computer applications in particular Microsoft Office. Ability to work with SAP and Consulate-specific software.
